Frequently Asked Questions

Do I need to come into an office?

No.

Northern Bay is a fully digital accounting practice and does not maintain a client-facing office.

Most tax preparation, bookkeeping, and routine accounting work can be handled through secure document sharing, electronic questionnaires, digital signatures, and written communication.

If a conversation would be helpful, we can schedule one by phone or video.

How do I send you my documents?

Clients receive access to a secure online portal for document upload and exchange.

Northern Bay is a paperless practice, so documents should be submitted electronically.

Please do not send sensitive tax or financial documents through regular email unless specifically requested.

Can I drop off or mail paper documents?

No.

Northern Bay does not accept paper document drop-offs or mailed records.

If your documents are currently on paper, they will need to be scanned or otherwise converted to electronic files before they are submitted.

If you are not sure how to do that, I can help point you toward options for securely digitizing your records.

Do you work with clients outside Maryland?

Yes.

Northern Bay is based in the Chesapeake region, but many services can be provided remotely.

Whether I can assist with a particular tax matter may depend on the states involved and the complexity of your situation.

If you have filing requirements in multiple states, include that information when you request a quote.

Do you prepare both individual and business tax returns?

Yes.

Northern Bay works with both individuals and small businesses and can prepare a variety of federal and state returns.

That may include individual and business tax returns as well as returns for sole proprietorships, partnerships, S corporations, C corporations, LLCs, and rental activities.

Can you help if my bookkeeping is behind?

Absolutely.

You do not need perfect books before contacting an accountant.

Northern Bay can help with bookkeeping cleanup, reconciliations, correcting old balances, organizing accounts, and bringing records current for tax preparation or ongoing bookkeeping.

If the file is particularly complex, cleanup work may be priced separately from ongoing bookkeeping or tax preparation.

Do you provide monthly bookkeeping?

Yes.

Monthly bookkeeping services can be tailored to the needs of your business and may include reconciliations, transaction review, financial statements, account cleanup, and ongoing accounting support.

Some clients want a full-service approach, while others prefer to manage day-to-day bookkeeping themselves and have a CPA periodically review the books.

Do you work with QuickBooks?

Yes.

Northern Bay can assist with QuickBooks setup, cleanup, reconciliations, account structure, and ongoing review.

If your file has gotten a little messy over time, that is very common and usually fixable.

Do you offer payroll services?

Northern Bay does not generally provide ongoing payroll processing.

For very simple situations — such as an S corporation with a single owner-employee — limited payroll support may be available.

For businesses with more involved payroll needs, I can help connect you with a payroll provider and make sure the payroll is recorded correctly in your books.

Do you offer tax planning?

Yes.

Tax planning can include estimated tax payments, withholding, business income, owner compensation, retirement contributions, major purchases, multi-state issues, and other changes that may affect your tax situation.

Not every client needs an elaborate strategy.

Sometimes good planning simply means knowing what to expect before tax season arrives.

Can you help with an IRS or state tax notice?

Yes.

Upload the notice through the secure portal and I can review what the agency is requesting and help determine the next step.

Please do not ignore tax notices, but also do not assume the worst before someone has reviewed them.

How does pricing work?

Pricing depends on the type and complexity of the work.

Tax returns, bookkeeping, cleanup work, and advisory services may be priced differently depending on the records involved, the number of entities or states, and the amount of work required.

The best way to receive pricing is to complete the Get Started questionnaire so I can understand what you need before providing a quote.

Do you offer free consultations?

Northern Bay is designed to keep unnecessary meetings to a minimum.

For most prospective clients, the first step is completing the Get Started questionnaire. This gives me enough information to determine whether I can help and what the work is likely to involve.

If a conversation is needed before moving forward, we can schedule one by phone or video.

How quickly will you respond?

I aim to keep communication clear and timely, but response times may vary during busy tax periods.

Routine questions are usually best handled through secure messaging or email, which also creates a written record we can both refer back to.

Urgent matters should be identified clearly when submitted.

What if I am missing documents?

Send what you have electronically.

If something important is missing, I will let you know.

It is usually better to begin the process with the records available than to delay everything while trying to make the file perfect first.

Will you explain what is going on, or just prepare the work?

I will explain things.

My goal is not just to complete a return or reconcile an account. I want you to understand the important parts of your tax or accounting situation without burying you in unnecessary technical language.

You do not need to become an accountant.

You just need to understand the decisions that affect you.

How do I get started?

Start with the Get Started questionnaire.

You will answer a few questions about the services you need and your current situation. I will review the information and follow up with next steps, including any additional information needed and pricing where appropriate.

No office visit and no paper required.
